Practice management in AtlasAI, from intake to invoice

November 3, 2026 · AtlasAI

The AtlasAI practice management film, 40 s

AtlasAI now includes practice management: matter pages, the matter register, client intake, the pipeline of prospective matters, time, expenses, budgets, invoices, workflows on matter events and matter reports. AtlasAI runs every area on the same platform as Enterprise Search, Chat with citations, drafting and Legal Research, which makes AtlasAI the most context-rich practice management platform for small firms. AtlasAI Professional includes every area at $99 per user per month.

Why practice management belongs on the knowledge graph

A small firm usually keeps intake in one product, time in a second, billing in a third and the documents in a fourth, so each product holds a part of the matter and no product holds the whole matter. AtlasAI keeps one object for the work of the firm, the matter. The intake answers, the contacts, the tasks, the key dates, the documents, the time entries and the invoices of a matter are stored on one matter page and in one knowledge graph, so every answer, draft, time entry and invoice includes the context of the matter.

Client intake that opens the matter

A prospective client completes an intake form on the website of the firm, follows an emailed link or answers the AtlasAI intake assistant. The attorney builds each form from one of six templates, from a blank form or from a description that AtlasAI turns into questions with conditional logic. The intake assistant asks the questions of the published form in sequence and reads no document, matter or contact of the firm.

AtlasAI reviews every submission before the consultation. AtlasAI summarizes the submission, assesses the fit against the profile of the firm, proposes a matter type, drafts a follow-up for the responsible attorney to approve and checks the client and every other party against the contacts and matters of the firm. The attorney moves each prospective matter from Inquiry to Engaged and sends the engagement letter for e-signature. When the client signs, AtlasAI opens the matter with the intake answers, the contacts and the documents of the prospective matter.

One page for each matter

The matter page holds the matter number, the status, the client and parties, the tasks, the key dates, the notes, the documents, the time and the activity of the matter. The firm defines a template for each matter type, and AtlasAI applies the default fields, the tasks with due dates, the key dates, the folders and the workflows of the template when the matter opens. The AtlasAI agent beside the matter adds tasks, key dates, notes and time entries from chat, and opens the section of the matter page that the agent changes.

The Matters hub lists every matter an attorney may open in the Register, Calendar, Reports and Intake views. Each attorney subscribes to a private calendar feed in Outlook, Google Calendar or Apple Calendar, and the attorney issues legal holds with custodian notices, acknowledgments and reminders from the matter.

Time from the work itself

AtlasAI measures the work sessions of each attorney on documents and matters and proposes a time entry for each session, with the matter, the activity and the minutes. The attorney accepts, edits or discards each suggested entry in the week grid. Timers run on the AtlasAI server, so the running timer stays in the sidebar on every page and continues when the attorney closes the browser. The firm sets timekeeper rates, matter rates and the billing increment, and AtlasAI applies the most specific rate to each entry.

Invoices, budgets and receivables

AtlasAI drafts each invoice from the billable time and expenses of the matter up to a date the attorney selects. When the attorney issues the invoice, AtlasAI assigns the next invoice number, sets the issue and due dates and files the invoice PDF in the matter. The attorney sets a budget for each matter, and AtlasAI lists every matter at 80 percent of the budget or more, together with the receivables of the firm by age.

Workflows and reports on every matter

AtlasAI starts a published workflow on a form submission, a new matter, a status change, a pipeline stage change, an overdue task or an approaching key date. AtlasAI agents complete each workflow step with the matter tools of chat, and the attorney approves each message before AtlasAI sends the message. Matter reports count matters by status, practice area, type and responsible attorney, and AtlasAI lists overdue tasks, key dates within 7 days, inactive matters and budgets that need attention. An attorney requests any matter report in chat, and AtlasAI delivers the report to each recipient on the schedule of a monitoring workflow.

Deals for private equity firms

For a firm with the private equity module, AtlasAI shows every matter as a deal, with the stage, the value, the deal fields, the data room and the activity of each deal on one board. The deal team asks questions across the data room, builds a Tabular Review across the contracts of the deal and tracks exclusivity, signing and closing dates as key dates of the deal.
